Job Description:

Otakuthon is a non-profit organisation, which is run by fans of anime for other fans of anime. As such, all staff are volunteers (not paid) giving their time for a convention they believe in. Our staff position structure is described on our website.

Responsabilities

The customer service staff plays a key role in ensuring a smooth and enjoyable experience for all Otakuthon attendees. As a member of the Registration Division, your mission is to provide a warm welcome, answer inquiries, and resolve issues efficiently to enhance the overall experience of our participants.

Pre-Event Training

  • Attend training sessions to become familiar with event policies, procedures, and customer service tools.
  • Develop skills in conflict resolution and handling delicate situations.

Customer Service Desk Responsibilities

  • Greet attendees with courtesy and professionalism.
  • Answer general questions regarding the event, schedule, locations, and rules.
  • Assist attendees experiencing issues with their registration, badge, or access to special activities.
  • Process registration corrections, badge replacements, and refund requests in accordance with event policies.
  • Provide support to visitors with special needs or accommodation requests.

Issue Management and Resolution

  • Identify and resolve problems reported by attendees, including registration errors, access issues, and general concerns.
  • Work closely with the Registration and Public Safety teams to handle complex or urgent situations.
  • Escalate cases requiring intervention from management or other departments.

Support for Other Departments

  • Provide support to the Registration and Customer Service teams as needed during the event.
  • Ensure clear communication and proper follow-up on reported incidents to improve attendee experience and optimize internal procedures.

Requirements

  • Bilingual in written and spoken French and English.
  • Excellent communication and customer service skills.
  • Ability to handle unexpected, stressful, or conflictual situations with professionalism and composure.
  • Strong teamwork skills and the ability to collaborate with different departments to resolve issues effectively.
  • Leadership skills, with the ability to provide support and guidance to other staff members.
  • Ability to work independently, make quick decisions, and adapt to Otakuthon’s policies.
  • Flexible availability during the event to ensure coverage during customer service hours.
